C. General Information

  1. Technology Use
    Throughout the Experiential Education courses, various technologies and software products will need to be utilized, including but not limited to: laptop computers, handouts, videos, internet and library resources, Canvas, E*Value, ExamSoft and any associated exam administration software, Qualtrics, SWOSU email, Adobe Acrobat, and various Microsoft Office software products (e.g. Word).
    1. Laptop: A laptop computer and internet access is required for coursework and certain exams. Regarding exams, students must have the ability to take their laptops to the testing location to which they are assigned and access the internet at that location.
    2. Canvas: Canvas may be utilized by some preceptors and Experiential Education faculty for the provision of course content, announcements, assignment submission, discussion boards, communication of grades, etc. Students are expected to check regularly and at designated times for updated information. Students must have the ability to upload files, participate in Discussion Boards, and take quizzes utilizing the Respondus lockdown browser. The most current version of Respondus should be loaded on your computer; check for updates through Respondus. The Canvas Help Guides advise using certain web browsers for optimal functionality; please see the Help Guides to determine which browser to use (Canvas Student Guide)
    3. E*Value: Students use this program to access important information about Experiential Education announcements, rotation assignments/schedules, contact information for sites and preceptors, certain rotation requirements/pre-requisites, etc. Students also must complete certain course requirements within E*Value, such as reflection, writing assignments, and maintenance of their electronic portfolios. Students must be able to upload various types of documents to their electronic portfolios. In addition, E*Value is used to manage the evaluation processes associated with each rotation. Students are expected to check regularly and at designated times for updated information.
    4. SWOSU email: Students are expected to check their SWOSU email daily. Please note that email communication from preceptors, Experiential Education faculty, and the Office of Experiential Education will be sent through the SWOSU email system, so utilize this email system for all course related communication (not your personal email address). This system is available as a Microsoft Exchange server based email; therefore students should be able to send and receive these emails on their phones or other electronic devices without any need to forward to another email account. IF needed, information on setting this email account up can be accessed on the SWOSU IT webpage. The Experiential Education Office does not take responsibility for emails that do not get forwarded on to other email addresses successfully or for any emails that are delivered to clutter, junk, or spam inboxes.
    5. Electronic Devices During Exams: During exams all electronic devices (e.g., cell phones, smart watches, tablets, etc) must be turned off and stored in a location away from the student (e.g. backpack or purse). Students must not have these items in pockets or on their person during the exam, even if they are set to silent or vibrate, as this will be considered evidence of cheating and a breach in academic integrity. The only exceptions to this policy are the students’ laptop when required to take the exam and a simple nonprogrammable calculator if the preceptor or Experiential Education faculty member has permitted use of such a device during the exam.
    6. Cell Phones and Other Electronic Devices During Rotations: The ability to use cell phones and other electronic devices (e.g., laptops, tablets, smart watches, etc.) while on rotation will vary depending on your rotation site and be at the discretion of the preceptor, providing they are utilized solely for functions related to the course or rotation. Follow preceptor and site policies! Personal calls, texting, and internet surfing during rotation hours are prohibited. If the preceptor feels that you are abusing any privileges related to the use of electronic devices, they have the right to require the removal of them from the site or send you home immediately.

      Violations of any portion of this policy may result in deductions to your overall course grade of a minimum of 5% up to and including failure of the course and/or a report of the student’s conduct to the Professionalism Committee.
  2. Social Media tools are an ever changing aspect of the education and work environments. When engaging in any form of social media:
    1. Follow all COP professionalism policies and site policies, including Internet/Intranet policies and keep HIPPA regulations in mind at all times
    2. Do not comment on or share legally protectable proprietary or confidential financial information or patient information
    3. You are personally responsible for the content you publish on social media sites.
    4. If you are writing about your experiential education course and/or the rotation site/preceptor, be clear that you are speaking for yourself and not on behalf of the COP or your rotation site/preceptor
    5. Be thoughtful about what you say
    6. Do not post any material that would violate SWOSU and COP policies against harassment, discrimination, and retaliation

Note: this policy applies to all students whether you access these sites using a SWOSU computer system, site computer system or your own system at home or elsewhere. If you have any questions as to the appropriateness of your postings, it is better to just not post it! To report a problem you may contact the OEE at 405-601-2484 – You may be anonymous.

  1. Students are responsible to be familiar with the Experiential Education Appearance Policy and to make sure they are in compliance.
  2. Grade Inquiries should be made to the appropriate individual(s) in the following order as it relates to the course/rotation: Preceptor or faculty member who assigned the grade, IPPE Coordinator (if applicable), Director of Experiential Education, Chair of the Pharmacy Practice Department, Dean of the College of Pharmacy.
  3. Students are NOT to contact sites about availability. Any student doing so will be denied a placement at that site.
  4. Students must notify the OEE of their anticipated employment during experiential education activities. All outside employment must be noted in E*Value before the start of rotations.

    If your employment status changes at any time, you must notify the SWOSU Office of Experiential Education (OEE) within ten days of the change.

    Students are not permitted to complete rotations at sites in which they have been employed; this includes both past and present employment. This also applies to “sister sites”. For example if you have or are working at n Integris hospital, you will not be allowed to have a non-medicine rotation at an Integris facility.

    Additional examples include: if you have or are working for Wal-Mart, you cannot have a rotation with Sam’s Club, and if you have or are working at Walgreens you are not allowed to choose a Walgreens site for a Community rotation. These are examples and not a complete list.

    You may have a rotation at a company that you have been or are currently employed at for a specific selective rotation. Examples are District manager or MTM rotations. These examples are not a complete list.

    Students are also not allowed to have an APPE community or institutional rotation at a site/company where they did an IPPE community or institutional rotation.

    Any change in employment must be updated in E*Value and sent to the OEE in writing within 10 days of employment.

    Any questions regarding employment during rotation or previous employment that may affect rotation should be directed to the Director of Experiential Education.
  5. Request for change of practice site should be made only when there is a genuine need.
  6. Students must not receive remuneration for any experiential education course (Introductory or Advanced).
  7. Students are responsible for the cost of any healthcare and/or medical treatment that may be needed or required while on rotations. This includes any treatment provided at a site, whether acute or no-urgent care.
