Dear Student:

Congratulations!  We are pleased that you plan to participate in the commencement ceremony at Milam Stadium on May 10, 2014.  Please take the time to read through this letter and be prepared for a great and important day!

Before the Day of Commencement

  1. If you cannot attend the ceremony, please fill out an in absentia PDF form.  The completed form may be emailed to registrar@swosu.edu.
  2. Commencement participants with disabilities should contact Cindy Dougherty, Dean of Students (774-3767) by May 1 if they need special assistance during commencement.
  3. If you have not already arranged for your cap and gown for the ceremony, contact the University Bookstore at 580-774-3792.
  4. Everyone must wear flat-soled shoes for the ceremony, because high heels can damage the artificial turf.
  5. A rain plan is explained at the end of this document.  If it is necessary to have commencement indoors, an announcement will be made by 8:00 AM.  Listen to the local radio station (FM 95.5), check the SWOSU website (www.swosu.edu), call the SWOSU hotline number (580-774-3225), or watch your cell phone for a text message if you have subscribed to E-Notify.
  6. Please note that if we must utilize the rain plan, graduates will be limited to six (6) guests for the ceremony.  We have carefully planned for the number of graduates in each ceremony of the rain plan, so we ask that you honor our request by voluntarily limiting the number of your guests so that guests of all graduates may attend.

Commencement Instructions (Good Weather)

  1. Informal coffee and reception in the Wellness Center from 8:00 to 9:30 AM for you and guests.
  2. Line-up is at 9:30 AM. Line-up locations are listed by major in the next section. The commencement ceremony will begin promptly at 10:00 AM. 
  3. Please line up in the appropriate building (see list) at 9:30 AM.  Signs will direct you to the correct line by your major, and you should arrange yourselves in alphabetical order by last name within each line. 
  4. Wear your tassel on the right side of your cap.  At the appropriate time in the ceremony, you will be asked to move it to the left side symbolizing the completion of one stage of life and moving on to the next.  It also keeps the tassel out of your face when pictures are taken.
  5. Once in line, a faculty member will give you a card with your information on it.  If necessary, please correct your permanent address on this card.  You will keep the card until you go across the stage.  The card will serve two purposes – first to let the announcer know who you are, and then to let the photographer know who you are.  All students will be photographed receiving their diploma by Blunck’s Photography (http://bluncks.com), who will mail the proof to the address on your card.  Students are under no obligation to purchase prints of the photo.
  6. During the processional, follow the instructions of the faculty marshals.  When you reach your seat, you may be seated. You will receive your diploma by college, department and degrees in the order listed in the program. 
  7. Graduates will be called to the stage by colleges in the order listed in the program.  Faculty marshals will direct you to the stage.  As you approach the stage, give your information card to the announcer’s assistant.  Please wait at the top of the ramp and proceed across the stage when your name is called.
  8. Diploma holders will be awarded by President Beutler.  Accept the diploma with your left hand (on top) and “shake right hands” under the diploma.  Your Dean will also be present to congratulate you.  Faculty marshals will assist you back to your seats.
  9. When all diplomas have been presented and the commencement exercises are completed, you will be dismissed.  You may exit the seating area when the Recessional music begins.
  10. As a courtesy to those receiving their diplomas after you, please ask your relatives and friends to remain seated until the entire ceremony is completed.
  11. After the ceremony, graduates may pick up their diplomas and Graduate Record books in the Wellness Center.  Any holds (business, library, etc.) must be cleared before you receive your diploma.

Rain Plan

If commencement exercises cannot be held in Milam Stadium because of rain or threatening weather, three separate exercises will be held.  The schedule and location for these individual convocation exercises listed below.   This schedule will ONLY be used if an announcement is made that we will use the RAIN PLAN.

Under this rain plan, please remember that each graduate is limited to six guests due to limited seating indoors.  Please respect your fellow graduates and honor this request so that all guests may have a seat.

Faculty Marshals will assist with organizing graduates for the processional march and with seating.  When degrees are to be conferred, they will direct graduates to the podium.

If this rain plan is used, the Wellness Center will be open from 8:00 AM until 3:15 PM to provide coffee and a place for family and friends to gather while waiting for the appropriate convocation exercise.  After each ceremony, graduates may pick up their diplomas and Graduate Record books in the Wellness Center.  Any holds (business, library, etc.) must be cleared before you receive your diploma.
