General Policy

All University customers are encouraged to take advantage of the coordinated printing and duplicating services offered by the University Press. This coordinated program promotes economy, efficiency and flexibility for the University and relieves employees of costly time and effort in shopping off-campus for commercial vendors to supply their printing requirements. It also provides opportunity for assuring conformity to University policy in printed matter.

All printing, duplicating, and copy jobs, other than those to be performed by authorized divisional or departmental duplicating facilities, are to be referred to the Manager of University Press for fulfillment. The following is generally applicable:

  1. The University Press will perform the service if it can be completed within the required time limits. However, if in the judgment of the Manager, time limits cannot be met, he or she may recommend that the job be referred to an off-campus printer. The Manager of University Press may handle procurement for the service.
  2. Jobs are not to be taken off-campus for printing, copying, or duplicating unless the foregoing policy statement is followed. As a matter of University policy, University Press does not bid against off-campus printers except by special administrative approval, and departments are authorized to request or procure off-campus bids for the purpose of comparison.

Printing and duplicating services are available to students, faculty, and staff when such service are required in line with assigned University functions or class work. Personal services not directly related to these functions or to class work is not an authorized obligation of University Press.

Any faculty or staff member is invited to schedule a visit of the printing plant to inspect its facilities and to discuss printing and duplicating questions.

Any complaints or suggestions concerning the services, practices, or procedures of University Press may be directed to the Manager of University Press.

Duplicating

Duplicating jobs that are ready to be duplicated without additional work, such as, preparation of a cover or securing artwork should be taken to University Press for handling.

Duplicating jobs that require the preparation of covers, securing of artwork or photographs or needing layout and design should be taken to University Press as appropriate.

Printing

  1. Printing jobs are to be taken to University Press for editing, type selection, layout and design review for conformity to University policy and similar steps in the normal preparation and production of printed materials. University Press does provide these types of editorial and design services.
  2. Printing or duplicating jobs that are "camera ready", exact reprints of materials printed at an earlier date should be taken to University Press.
  3. Any and all repeat jobs sent to University Press must be accompanied by a sample of the previous job or jobs completed.
  4. All jobs requiring any changes whatsoever must be proofed by the appropriate person from the department requesting the printing or duplicating job or jobs.
  5. University Press will assume no responsibility for any job after proofing has been completed, signed and dated by that department. If in any case of "NO PROOF REQUIRED" by a department, that department must, in writing, indicate "NO PROOF REQUIRED" on an accompanying sheet or memo. The "NO PROOF REQUIRED" must be signed and dated.
  6. The Manager upon request will supply cost estimates.
  7. University Press will issue invoices for services performed. Inquiries concerning invoices or payment should be directed to that office.
